Development of an image and video repository using open-source software
the case of LAC - Communication Agency Laboratory

Objective: To present the process of implementing a solution for the storage, organization, and access to the digital photographic collection of the Communication Agency Laboratory (LAC – Laboratório Agência de Comunicação, in Portuguese) of the School of Communications and Arts at the University of São Paulo.
Methodology: Action research with a theoretical and practical approach, organized in the following stages: literature review for theoretical grounding; diagnosis of the image bank; planning of the solution, which included the choice of the open-source software Piwigo for database organization; implementation, with the migration of all photo and video files previously stored in different locations; creation of a controlled vocabulary to standardize entries for indexing; and finally, a user guide to navigate the system.
Results: The organization and centralization of the image collection through the Piwigo software enabled easy access for the daily use of the LAC team, totaling more than ten thousand registered files identified with metadata on authorship, date, and subject.
Conclusions: The solution proved successful and ensured better use of the stored documents (photos and videos), based on the scientific knowledge of Knowledge Organization (from Information Science) and the technical and contextual expertise of the LAC staff who supported the implementation of the proposal. The initiative may serve as a model or example for image banks at other institutions.
