Enterprise Content Management Assessment against international archival standards for managing and preserving digital documents

Objective: This paper conducts an analysis of compliance of Enterprise Content Management (ECM) systems, in relation to the ISO 15489 and ISO 16363 standards.
Methodology: To verify the compliance, qualitative research was used with analysis of documents, manuals, guides and discussion forums correlating the ECM systems to the requirements indicated by international archival standards. The correlations found were validated through a focus group composed of Archival, Information Technology and Project and Process Management professionals. Furthermore, the ECM systems tools were compared with a reliable digital archival repository, Archivematica.
Results: It was observed that systems that adopt ECM strategies meet and exceed archival requirements in terms of production processes, capture, management, control, storage and distribution of acquired and unattended content.
Conclusions: Regarding preservation, although ECM systems are not considered digital archival repositories, they are able to maintain the preservation, integrity and usability of the document for as long as necessary.
